
Separate working storage from backup storage
A working drive holds files you actively edit. A transfer drive moves files between computers. A backup drive preserves recoverable copies and, often, earlier versions. One physical device can sometimes serve several purposes, but those roles do not have identical requirements.
Apple lists APFS as the file system used by modern macOS and identifies exFAT as Windows-compatible in its Disk Utility documentation. That compatibility distinction is the starting point, not a complete decision for every application or device.

When APFS is a sensible starting point
If the drive will stay in a Mac workflow, you can prioritize the file system designed for that environment. Review any encryption and case-sensitivity choices presented during setup instead of accepting an unfamiliar variant casually. Some applications have format-specific expectations.
Do not assume a Windows PC will handle an APFS drive as an ordinary plug-in transfer drive without additional software. If passing files to another person is central to the workflow, decide that requirement before formatting rather than after loading the drive with work.
When exFAT is useful
exFAT is a practical option for a shared transfer drive when both computers support it. It can simplify exchanging large project files without keeping separate Windows and Mac copies of the physical drive.
Compatibility does not make the drive a recovery system. Keep another copy of important files and eject the drive properly when transfers finish. Also confirm that project applications can open their own file formats on both platforms; a mutually readable disk does not make every application document portable.
Time Machine needs its own decision
Follow Apple’s Time Machine setup instructions for the backup disk. Apple discusses using separate APFS volumes for backup and other storage, but two volumes on one physical drive still share the same hardware failure risk.
Do not erase a drive containing the only copy of your files just because the backup setup requests a change. Move the data to a separate device, verify the copy, and only then decide whether to repurpose the original drive.
Use this pre-format checklist
- List every computer and device that must use the drive.
- Identify whether the purpose is active work, exchange, or backup.
- Check the application or device requirements for the format and partition scheme.
- Copy existing important data to a different physical location.
- Open a sample of the copied files to verify the transfer.
- Confirm the exact drive name and capacity before choosing Erase.
- After setup, copy and reopen a small test folder before moving the full workload.
